EcoClaim TRAX™ Carbon Tracking Software Help Section
This guide provides a step-by-step walkthrough of Trax, a powerful tool for measuring, managing, and reducing greenhouse gas emissions in the insurance claim supply chain. TRAX enables effective tracking of materials, emissions, and diversion efforts.
What is EcoClaim TRAX?
EcoClaim TRAX is **GHG management software** that measures actual and avoided greenhouse gas (GHG) emissions. The software records waste diversion efforts reported and calculates the actual and avoided waste-related GHG emissions on a per-claim basis. Notably, TRAX is the only application currently on the market that can measure avoided emissions related to prescribed behavioral changes resulting from training.
Getting Started with TRAX
- Login: Navigate to the Trax login page, typically found via the ‘tracks login’ button on the top right of ecoclaim.ca. Enter your username and password to access the system.
- New User Activation: If you are a new user, you must check your email for an activation link from
trax@ecoclaim.cawith the subject line “Activate your account on Trax”. Follow the link to set your password and activate your account. - Dashboard Overview: After logging in, you will land on the Trax Dashboard. You can use navigation buttons to access sections like Claims, Projects, Energy, Transfer Stations, Dashboards, and Admin.
Account Management
To manage your account settings, click on your username in the top-right corner of the screen. Here you can edit contact details, personal settings, and view or change your password.
Managing Claims and Projects
The claims section lists all projects your company is involved with.
1. Adding a New Claim or Project
- Click the blue “Add New” button.
- Toggle between “Claim” or “Project” under the Insurance Claim Heading.
- Input Claim Type (e.g., Water, Fire, Construction, etc.) and Date of Loss (enter your closest approximation if the exact date is unknown).
- Enter the Address. The system may suggest matching addresses as you type.
- Check for Existing Claims: If the claim was already entered by another supply chain company, it will appear in the “Similar Claims” box. Click Request Access if needed. Otherwise, click Next.
- Add Scope of Work, Notes, Hazardous Material presence, and relevant reference or claim numbers.
- Add Associated Companies (Insurer, Project Lead) if necessary. If the company is not EcoClaim Certified, toggle “Not Listed” and manually enter the Name, Address, and Contact Information.
- Select the job Type (e.g., repair, cleanup) and assign the company responsible.
- Review details and click Create to save the claim.
2. Managing Claim Status
- Access Details: Click the Details button (or the arrow next to the claim) to view specifics, check job status, and manage the claim.
- Declining a Claim: Decline a claim when no work occurred on site (e.g., estimate only or claim was withdrawn). Use the Details button, navigate to the Companies tab, and click Decline.
- Cancelling a Claim: Cancel a claim (which deletes all job and material ticket data) if it was accepted but no work happened, or if the claim was withdrawn. Click the arrow beside the claim, click the red X, tick the confirmation box, and click Cancel / Delete.
- Closing a Claim: Close a claim when there is no more waste data to provide, or after the last material ticket is entered. Click the arrow beside the claim, click the green check mark, and confirm.
- Adding Notes: Add notes for unusual circumstances or when work happened but no waste data was collected. Click Details, select the Notes tab, click Add Note, enter the text, and click Submit.
Submitting Waste Data and Material Tickets
Accurate measurement and tracking immediately after demolition is crucial. The weight of the waste must be documented to establish baseline data and measure true improved performance, which is a key element for legislative Scope 3 emissions reporting for insurance companies.
Data Submission Methods
- Automated Submission (Recommended): Automation saves time and reduces errors.
- Clean Claims Users: TRAX is fully integrated and handles job opening and materials automatically.
- Encircle Users: Email the completed EcoClaim EcoDivert Tracking Form (PDF) directly to
ecodivert@ecoclaim.ca. This automatically opens the job and uploads the waste diversion and claim information. - XactanAlysis Users: Use the Auto Open feature for zero job opening data entry. Utilize the EcoClaim EcoDivert Tracking Form available on Encircle, or email forms directly from the app to EcoClaim TRAX. CC

- Manual Submission:
If you do not use Encircle or other integrations, everything offered in Encircle is available manually on the EcoClaim platform.
- Select the correct job and click Details.
- Click Add Material Ticket.
- Enter the Date, the Deposit Location/Company (i.e., the recycler), the Type of Material, and the Weight (in kg or lbs).
- Drop photos or files of the way ticket or scale readouts into the upload section for supporting documentation.
- Add any notes and click Add Material Ticket.
Viewing Analytics and Reports
You can log in to EcoClaim TRAX to see your company’s Analytics Panel, which displays progress and opportunities for making waste diversion more efficient.
- Dashboards Tab: Navigate to the Dashboards section. Dashboards available include Admin Dashboard, Branch Analytics Panel, Group Analytics Panel, Score Card, Recycling Log, and Claim Summary.
- Review Key Metrics (Branch Analytics Panel): The panel shows Year-to-Date (YTD) statistics by default, though you can adjust the date range. Key metrics include Landfill Material, Diverted Material, Total Combined Diverted Material, number of Claims, and Total Emissions.
- Diversion and Avoided Emissions: On the right, view the Diverter Percentage (percentage by weight of materials diverted from landfill) and the Avoided Emissions (quantifying the environmental impact of diversion).
- Drill Down: You can click on a specific material type to view statistics related to that waste stream and filter claims accordingly.
- Scorecard: Review your company’s performance metrics over the last 30 days and 12 months, comparing your reporting accuracy and emissions data submission against provincial and national averages.
- Reports (Recycling Log and Claim Summary): Access the Recycling Log to view data categorized by material type. Access the Claim Summary to view a detailed project summary for a specific claim (including material collected, landfill, diverted, and diversion percentage). Both can be printed as shareable PDFs.
